Human Resources Administrative Assistant - Full Time

Location: Concord Reserve, 2116 Dover Center, Westlake, Ohio 44145

Are you tech savvy, organized and an effective team player? Have you demonstrated professionalism in handling confidential data? The Administrative Assistant in HR is a critical member of the Human Resources team with duties that are not limited to but include:

  • Complete all general office administration duties, as indicated:
  • Complete employment verifications
  • Handle miscellaneous paperwork regarding associate earnings; coordinate ongoing associate paperwork with Payroll
  • Organization and upkeep of all personnel files
  • Maintain TB spreadsheet, as required by state regulations
  • Create and distribute all term notes
  • Order office supplies
  • Process invoices for payment
  • Serve as departmental Scheduling Coordinator
  • Process internal transfer paperwork when associates change positions
  • Ensure organization-wide open positions are posted internally on a weekly basis
  • Assume responsibility for all pre-employment administrative functions as illustrated by the following:
  • Coordinate all pre-employment screenings (BCI, physicals, TB, etc.)
  • Complete sanction screens, as required by HR-52
  • Verify validity of state license for all affected positions
  • Enter license renewal information
  • Ensure completion of adequate reference checks for each candidate, prior to hire
  • Complete all on-boarding activities, such as:
  • Ensure new hire associate information is correctly entered into Paycor and We Care Connect
  • Enter new hourly-paid associates in time clock system
  • Other duties, as requested by HR Manager

POSITION REQUIREMENTS:

  • High School Diploma, college degree preferred.
  • Previous experience in an office environment, preferably in a Human Resources department
  • Proficient in Microsoft Office-Word, Excel, PowerPoint and Outlook. Familiarity with Paycor preferred
